Booking terms
These terms apply to bookings made on this website for 234 & 234a Bristol Road, Gloucester. They are between you and Tech Equity Property Ltd, the company that owns and operates both apartments. Booking through this site means accepting them.
Last updated 8 September 2026
Cancelling, in short
- Within 24 hours of booking
- Everything back, if you cancel before check-in time on your arrival day.
- More than 24 hours before check-in
- Everything back.
- Less than 24 hours before check-in
- We keep the first night and refund the rest. Your deposit or waiver comes back either way.
If your dates are moving rather than disappearing, tell us before you cancel — where the flat is free we will usually just move the booking.
Making a booking
When your booking is confirmed
Your booking exists once your payment has succeeded and you have received our confirmation. Reaching the payment page does not hold the apartment: the dates are held for a short window while you pay, and released again if you do not.
Both flats are let as whole units and never room by room. The shortest stay we take is 2 nights.
Who may book
You must be 18 or over to book, and the person who books should be one of the people staying. Tell us at the time if that is not the case, so the door code goes to the right person.
We ask for photo identification before arrival. This is a condition of staying, not an optional extra, and we may cancel a booking with a full refund if it is not provided.
Prices and what they include
Prices are in pounds sterling. Electricity, gas, water, council tax, WiFi and parking are all included in the nightly rate, and there is no booking fee. A one-off cleaning charge is added per booking, shown as a separate line at checkout and on your receipt.
On stays of ten nights or more, a weekly clean with fresh linen and towels is included.
Tech Equity Property Ltd is not currently registered for VAT, so no VAT is charged and none is recoverable on these bookings.
Longer stays
Stays of 28 nights or more are not booked or paid for on this site. They are quoted individually and invoiced, and the terms of that written quote apply to them instead of the cancellation terms below.
Changing or cancelling
Cancelling within a day of booking
You can cancel free of charge within 24 hours of making a booking and receive everything back, as long as you cancel before check-in time on your arrival day. This applies even if you booked for dates that are very close.
Once your stay has begun (after check-in time on your arrival day), these cancellation rules no longer apply: tell us, and we will look at it with you and agree any refund.
Cancelling before your stay
Cancel at least 24 hours before check-in and you receive a full refund of everything you paid.
Cancel less than 24 hours before check-in and we keep the first night and refund the rest. At that notice the night can no longer realistically be re-let, and the flat has already been prepared for you.
If you do not arrive and have not told us, the same applies as a late cancellation.
Your deposit, waiver and cleaning charge
Whichever cover you chose, it is treated separately from the stay. The £250 refundable deposit is returned in full on any cancellation. The £40 damage waiver is also returned if you cancel before check-in — you did not stay, so there was nothing to cover.
The cleaning charge is returned in full too, on any cancellation before check-in. No stay means no changeover to clean, and where we keep a night for late notice that already covers having prepared the flat.
Moving your dates
If your dates move rather than disappear, tell us before you cancel. Where the apartment is free we will usually just move your booking at no charge, which is simpler for both of us than a refund and a rebooking.
When things go genuinely wrong
Serious illness, bereavement, and events that make travel impossible are not what the notice periods above are for. Get in touch and we will deal with it sensibly. We would rather look at a real situation on its merits than hide behind a clause.
If we have to cancel
We will only cancel a confirmed booking if the apartment genuinely cannot be used — a burst pipe, a failed boiler in winter, something that makes it unsafe or unfit. If that happens you get everything you paid back in full, and we will help you find somewhere else if we can.
Refunds are made to the card you paid with, and normally reach you within a few working days of us issuing them.
During your stay
Arriving and leaving
Check in any time from 15:00 using a code we send before you travel, through a key safe by the door. There is no arrival window to hit and nobody to meet. Check-out is by 10:00, which is what gives our cleaners time to turn the flat around.
If the apartment is free either side of your stay we will usually agree to an earlier check-in or a later departure. Ask, and we will confirm.
How many people can stay
Only the people named on the booking may stay overnight. Tell us if that changes — an extra person is usually fine and is much better raised than discovered.
Visitors are welcome during the day. What we cannot accommodate is parties, events, or group bookings for a single occasion. Both flats sit in a residential building and we intend to keep our neighbours on our side.
No smoking
There is no smoking or vaping anywhere on the property, including out of a window. Both flats have a lot of new soft furnishing and it does not recover. Smoking in an apartment means the cost of putting it right, charged against your deposit or waiver.
Pets
We are not able to accept pets in either apartment. Registered assistance dogs are a different matter — tell us when you book and we will make the arrangements.
Parking
Parking is free and on site, by the door. There are three spaces across the two apartments and your booking confirmation says how many are yours. Vehicles are left at your own risk.
Looking after the place
Please treat the apartment as you would your own home, keep the noise down late at night out of respect for the neighbours, and lock up when you go out.
Tell us promptly if something breaks or stops working. Almost everything is fixable and much of it we can sort during your stay; what we cannot do is fix a problem we only hear about in a review.
Damage, deposits and waivers
The choice you make at checkout
Every booking includes one of two options, chosen by you at checkout: a £250 refundable deposit, or a £40 damage waiver that costs less and is not returned. Both appear as a separate line on your receipt.
How the deposit works
The deposit is charged with your booking and returned in full within 7 days of check-out, less the cost of any damage beyond normal wear and tear. If we do make a deduction we will tell you what it was for and show you what it cost us.
Normal wear and tear is not damage. A worn cushion or a marked tea towel is the cost of letting a flat; a broken door and a burned worktop are not.
How the waiver works
The waiver covers accidental damage up to the value of the deposit it replaces. It does not cover deliberate damage, damage from smoking, or anything caused by breaking these terms — in those cases you remain responsible for the full cost.
The formal bits
Our liability
We hold public liability insurance, and gas safety, EPC and fire risk assessment paperwork for both flats. Ask and we will send the pack.
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited. Your belongings and your vehicle remain your responsibility while you are here.
Your legal rights
These terms do not affect your statutory rights as a consumer. Accommodation booked for specific dates is generally exempt from the fourteen-day cancellation right that applies to most online purchases, which is why the notice periods above are what govern a cancellation.
Your information
We collect only what a booking requires: your name, your contact details, your dates and your payment. Card details are handled by Stripe and never reach us or this website.
Ask us at bookings@bristolroadgloucester.co.uk for a copy of what we hold about you, or for it to be deleted where we are not required to keep it.
Law and complaints
These terms are governed by the law of England and Wales.
If something has gone wrong, tell us first — email bookings@bristolroadgloucester.co.uk and we will try to put it right. Most things are easier to fix while you are still here than afterwards.
Something here unclear, or not covering your situation? Ask us at bookings@bristolroadgloucester.co.uk — we would rather answer it now than argue about it later. You may also find what you need in the questions.
